Before you start writing a motivational letter to your employees, it’s essential to be conversant with what you want to include in it. You need first to ask yourself what the letter wishes to achieve and whether it’s the only way to motivate your employees and wish them well in what they have accomplished in the past. A motivational letter can be used to communicate such factors, but it should also follow a particular guideline.
As an organization, it’s important to understand your structure and what the employees expect from you. Although your primary objective is to motivate your employees, you should take time to evaluate the requirement behind the motivation. For instance, is your letter trying to address the companies’ policy and principles or are there any future projects that require employees’ attention? Once you understand the goal of the motivational letter, it should be easy to convey your message.
It’s important to note that motivation can take a while to present itself or it can come quickly in a few individuals. In fact, external forces such as wisdom, kind words and rewards can achieve a lot. That is why you should keep the atmosphere centered towards growth and success as well as the progress of each employee.
If a company takes a self-centered approach towards its employees, then such an organization can hardly realize satisfaction and respect. It’s also important to understand what motivates your employees. Is it the healthy competition among themselves, security of their jobs, verbal acknowledgment or some monetary reward.
Once you understand what the employees want, it becomes easy to motivate them by offering different rewards. This is one of the ways you can achieve 100% from their side. Employees need to be recognized every time, and when the appreciation comes unexpectedly, the effects are higher.
So, if you feel that your employees need a little boost, you shouldn’t be shy to do so. In most cases, changes in management as a result of previous projects can significantly reduce the hunger for success as well as the level of enthusiasm. In such instances, you will be required to address their fears. Remember to be honest about the companies’ relation on the same.
When writing the letter, it’s important that it addresses the employees with respect. That means you should stay honest and avoid trying to shift or make any changes in the company. Once you know what you want to convey to your employees, the letter shouldn’t be a difficult task.
Also, take note that an employee recognition letter doesn’t have to be elaborate but it should at least cover specific aspects to get the results you intend to see. In most cases, your letter can be useful if it says thank you and that the contributions of the employees are appreciated. It should also be given in close timing to the event you are talking about.
Once you are done drafting the letter to your employees, you should proofread to ensure that there are no mistakes before you can email to everyone
Sample Motivational Letter to Employees
Dear all, I am glad to inform you that that the Chicago sales team has surpassed the gross margin revenue projected for the year 2019. At the beginning of the year, the company set projections for each regional team in the west US.
I need to acknowledge that as a result of the mentorship provided by the sales team to the regional managers they have won big deals with higher gross margins. As we had promised, all of the winning teams are to be awarded for their achievements.
Thirty-five members of the Chicago sales team will go for a retreat in Germany, which the company has gladly accepted to finance. Also, due to their exemplary performance, each of the team members will receive seven per diems while on the Germany adventure.
This initiative has the support of Mr. Hesitings, the company’s regional manager. The manager also believes that doing so will motivate other teams to perform even better in the coming period and receive even greater rewards. I am glad to inform you that the Germany trip will take place on the 15th of September and it’s expected that the team members will be back to work on the 14th of September. In their absence, the New York team will cover their tasks as well as any urgent and arising matters.
I also take this time to not only acknowledge the success of the Chicago team but to appreciate the hard work that each team has put in place to realize their target. Mr. Holdings has also congratulated the Miami, San Diego and New Jersey team for their exceptional performance. In so doing, he has awarded each of the groups a two day paid leave.
