Writing a Retirement Recognition Letter (with Sample)

Use this sample retirement recognition letter as a template for your formal notification.

Retirement Recognition Letter (Free Sample)
A retirement recognition letter is sent from an employer or coworker to a person who is retiring from the company or institution. It gives coworkers the opportunity to express congratulations on the retirement as well as the chance to express how much the working relationship was appreciated and to give good wishes for the future. A retirement recognition letter is personal and not necessarily part of a general retirement ceremony or party.

It not only lets employees leave the job feeling appreciated and satisfied with their career, but it also sends current employees the message that their work will be recognized and appreciated.

Life Changing Event

Since retirement is a life-changing event, it is often marked with a party for all the managers and coworkers who worked with the retiree. Some coworkers may not keep in touch with the retiree and appreciate the chance to say goodbye.

Others will stay connected and possibly continue to interact on a social level. Either way, it’s good to give a retiree a send-off celebration because it is something he or she will cherish for the rest of their life. Some of the most popular ways to celebrate retirement are:

A retirement party – this may be as simple as cake and coffee in the office or as elaborate as a formal dinner in a restaurant. It is best for the organizers to ask the retiree what he or she prefers.

They may like the idea of a small celebration in the office where everyone can join, or they may want it to be out of the office where only a few close associates are invited.

A retirement gift – it is common for coworkers to pool their money and purchase a really nice gift for the retiree. Organizers should make sure that giving for the gift is voluntary. Some people may want to give a personal gift.

Official company appreciation and award – the proverbial gold watch at retirement may seem cliché now, but it was an appreciated gift at one time.

A personal or collective gift is valuable, but an official company gift may hold a place of honor in the retiree’s home. It shows that not only was the retiree personally liked, but appreciated by the management.

A scrapbook, PowerPoint or video – coworkers may take the time to prepare a brief presentation about the retiree’s career highlights. It may include photos, jokes, anecdotes and humorous testimonials from colleagues. This is extremely valuable for the retiree.

It may take some time to gather all the information and memorabilia, but it is well worth the effort. Another gift could be a group photo of the retirement celebration enlarged and framed.

Whether a retirement function is planned or a simpe a retirement recognition letter is sent, it is important to know the coworker well. While everyone may appreciate a happy send-off, the type of celebration appreciated may be different.

Planners should be careful not to plan a raucous dinner in a restaurant, for someone who would be embarrassed and have preferred a quiet tea party in a conference room.

Below is a sample retirement recognition letter. Since it is a personal letter from a coworker, it is sent in addition to any celebrations arranged by the human resources department or other employees.

If the person is particularly close to the sender, a small gift can be included with the letter, but, in most cases, a letter from a friend or coworker appreciating their work is enough of a gift for most retirees.

Dear First Name of Retiree:

We have worked together in the sales department of Name of Company for the past 15 years, and I would like to use this opportunity to express to you the gratitude I feel for all the help and support you gave me throughout those years.

You were a star employee in the company and didn’t need to help me grow, but because of your guidance, I hope to reach your lofty standards. You were always positive and encouraging, and I sincerely hope you are able to relax and enjoy your retirement years.

Your cheerful presence will be missed at work, but I believe you have created a company culture of teamwork that will endure to the benefit of each employee and the whole company.

I hope you will keep in touch and let us know about your retirement plans and any new endeavors you undertake.

With best wishes,

First Name of Sender
