There may be many times in a person’s life when they are asked to write a referral letter. This can be for a job, a college application or anything else where an individual needs a character witness. These letters are pretty straight forward, and they should answer any questions that the other party has about the individual in question.
Oftentimes, the referral letter is used when a person is trying to rent a home or apartment, or when someone is unsure and needs someone else to prove the integrity of this individual. Generally, the person writing this letter needs to say how long they have known this person and whether their relationship is business or personal.
For instance, if the relationship started at a social club and they are known as a personal friend, the letter should state that. On the other hand, if a person worked with this individual, then a professional relationship should be detailed.
Typically, it is better to provide business references rather than personal ones, as business relationships tend to have more clout in a situation than personal ones. Employers and landlords like business references because they show whether or not the individual in question is trustworthy, dependable and all the other things they need to know.
This letter is formal and should be written as such. Start out with proper addresses and the date. If there is an intended recipient, be sure to address them as Mr. or Mrs. and not by their first name. A person should start off by stating their name and who the intended letter is a reference for.
Then it should say what type of relationship be it business or professional, the two parties have. If the person writing is a boss or supervisor of this individual, that should also be stated clearly. What kind of business or personal ethics does this individual has should always be in the first paragraph and easy to locate.
If the individual is worthy of praise, don’t hold back. This letter can make or break a person’s chances of getting a job or home. It is best to gloat just a bit on what a hard worker/good tenant they are. Name some of the things that this person does that makes their performance superior. Are they on-time, do they do great work and are they worthy of hiring?
These are things that an employer wants to know. When it comes to renters, do they pay on-time, do they keep their yard neat, etc.? Depending on what type of letter it is will depend on how it should be handled. Try to stick to basic facts and ignore useless rambling. Here is a sample letter

Dear Mr. Evans,
Janice Choma has asked me to write a letter of reference to your company. She stated that she had interviewed for your administrative assistance position and was hopeful to obtain this position. I have known Janice for more than 15 years, as she has worked for me at the SF Theater Group. I have been the director here for more than 12 years and have worked closely with Janice and her husband, Frank. She has been involved in several productions that we have had, including some as leading lady.
We were saddened to learn that Janice was relocating to the Jackson area, but wish her the best. While she worked on productions and theatrical performances here at SF Theater Group, she also served as our Administrative Assistant.
This role has been handled by her with pride for more than 10 years. She is always punctual, does quality work and never seems to let stress get the best of her. She doesn’t let her personal life interfere with her job and always has a smile on her face. She is one of the hardest working women I know.
