Reinstatement letters are written for several reasons, including when an employee wants to be reinstated to a job or when a student wants to be reinstated for financial aid that they lost for some reason. This type of letter usually accompanies a reinstatement form that has most of the details, so the letter need not be long.
Students are often expelled from college in the first year because of poor attendance or grades. If the student works to improve their lifestyle and sincerely wants to continue their college education, they can write a formal letter requesting reinstatement in the university.
Reinstatement letters may also be written to a creditor when the credit that was previously extended has been discontinued. The creditor is not under any obligation to continue the credit, but a formal letter may convince the lender it would be a good idea to do so. In this case, the sender should include the reasons they fell behind in payments such as illness, family emergency, and loss of job or a death in the family. The borrower can clearly state how his or her circumstances have improved, and that they are determined to pay their bills. They should then ask for reinstatement of their credit.
The reinstatement letter should be sent directly to the person who deals with such matters. It is not recommended to send it to a general department unless there is no other choice.
The sender can phone the company or institution and find out the name of the human resources person or head of financial aid. The letter should state clearly the name of the sender, any ID number and that he or she is seeking reinstatement for a job or position.
The circumstances that caused the sender to leave the job, be removed from receiving aid or whatever they discontinued should also be clearly stated. If the reason is the sender’s fault, they should explain how the situation has been remedied. It is recommended that the sender give concise details about the circumstances why he or she left the job and provide good reasons why they should be rehired. This letter is not the place to be melodramatic and self-pitying. This could work against a positive outcome.
The person to whom the letter is addressed should be thanked for taking the time to read the letter and consider the sender’s position. Any paperwork that is connected with the situation should be included such as medical clearances or proof of being reinstated in the university.
At the end of the letter, the sender can include their phone number and email address, and mention that they will contact the receiver after a period of time. If they don’t receive a response within two weeks, the sender can call the organization and ask about the status of their request.
